T-300COI Check

COI Check.

Type the insurance certificates your subs have sent, or open the CSV you saved last time. See which sub is current and which certificate is expiring, expired, undated or missing, which one runs out before a sub is due on site, and how much open work sits with subs who are not current. Download it as a CSV for Excel or Google Sheets, or print it. Free, no account, and nothing you type is stored or sent: the CSV and the printout are made in your browser, and a saved CSV is read there too. This page checks dates and what you type. Your broker decides what a policy covers.

Documents you require from every sub

Status counts only what you require. Anything else you add is still checked for its date.

Example subs and certificates, not real companies

Every name and number in the example is made up.

Certificates and documents

One row per document. A renewal is a new row: the later date replaces the older one. Type the expiry date printed on the certificate; if you have the certificate but have not read its date yet, leave Expires blank and it reads Undated. A W-9 does not expire. The two boxes are for you to tick after reading the certificate; left blank, they read not checked. Nothing is stored, so a reload clears the page. Download the CSV to keep it, and open it here next time.

When they start, and what they are carrying (optional)

One line for each sub name above, spelled exactly as typed. On site from is the date they are due to start; a certificate that runs out before it is flagged. Open work is what is left on their POs; it sorts the list and adds up what sits with subs who are not current.

Where your subs stand

7 subs: Missing 2, Expired 1, Undated 1, Expiring 1, Current 2 · 7 to fix first

$279,700 of open work sits with subs who are not current.

Fix these first (7)

  • Bramblecrest Electric LLC: the certificate of insurance expired 2026-10-07, 9 days ago.
  • Ninefold Plumbing & Heating Inc.: no W-9 on file. You require one.
  • Quillfeather Drywall Co.: the certificate of insurance expires 2026-10-28, before they are due on site 2026-11-25. Ask for the renewal before they start.
  • Quillfeather Drywall Co.: you marked the named insured on the certificate as not your sub. A certificate names the company it was issued to. Get one in your sub's own name, or ask your broker.
  • Orchard Lane Masonry: the certificate of insurance is on file with no expiry date. Open it, read the date off it, and type it in. Until then it does not count.
  • Ninefold Plumbing and Heating: no certificate of insurance on file. You require one.
  • Ninefold Plumbing and Heating: no workers' comp on file. You require one.

Confirm these (2)

  • Ninefold Plumbing & Heating Inc. and Ninefold Plumbing and Heating read as one company spelled two ways. If they are one company, use one spelling, so their documents are checked together.
  • Copperwick Fire Protection: you marked an owner, partner or officer as excluded on the workers' comp line. If that person works on your site, ask your broker what that means for you.

Coming up (2)

  • Quillfeather Drywall Co.: the certificate of insurance expires 2026-10-28, in 12 days, inside the 30 day window. Ask for the renewal now rather than after it lapses.
  • Copperwick Fire Protection: the license expires 2026-11-25, in 40 days, inside the 45 day window. Ask for the renewal now rather than after it lapses.

3 boxes on your certificates are not checked yet: the named insured, or the owner or officer box on the workers’ comp line. Not checked is not the same as fine.

  • Red: missing or expired.
  • Yellow: undated, or expiring inside its window (30 days for a certificate of insurance, workers’ comp or disability; 45 for a license).
  • No color: current, on file, or replaced.

Days left counts whole days from the as-of date to the expiry date. On the expiry date a document still reads Expiring; the day after, it reads Expired.

Questions about tracking subcontractor insurance certificates

What should a COI tracker show?

One row per certificate or document: the sub, what it is, the policy number, the insurer, and the date it expires. From those, this page shows each document as Current, Expiring, Expired, Undated, Replaced or On file, and each sub as Missing, Expired, Undated, Expiring or Current, worst first. Add the date a sub is due on site and their open work, and it also shows a certificate that runs out before they start, and how much work sits with subs who are not current.

How far ahead should I ask for the renewal?

This page starts warning 30 days before a certificate of insurance, workers’ comp or disability certificate expires, and 45 days before a license does. Other trackers send reminders at 30, 14 and 7 days, or start at 60. Your contract may set its own notice period, so check it. On the expiration date itself a document still reads Expiring; the day after, it reads Expired.

What does Undated mean?

You have the certificate but no expiry date typed for it. It does not count as current until you open it, read the date off it, and type it in. A certificate nobody can date cannot be watched, and an unwatched certificate is the same as none. A W-9 does not expire, so it reads On file.

What happens when a sub sends a renewal?

Add it as a new row. The newer date replaces the older certificate of the same kind, which reads Replaced and is no longer checked. Keep the old row if you want the history in your CSV.

What does this page check on an ACORD 25, and what does it not?

It checks the dates you type, and two boxes you tick after reading the certificate yourself: whether the named insured is your sub, and whether the workers’ comp line shows an owner, partner or officer excluded. A box you leave blank counts as not checked, never as fine. It does not read limits, the additional insured box, the waiver of subrogation box or the description of operations. A checked additional insured box means an endorsement may exist; the endorsement itself sits behind the certificate, so ask the broker for the policy forms. Being the certificate holder does not make you an additional insured.

Why does it say two names are one company?

Because Ninefold Plumbing & Heating Inc. and Ninefold Plumbing and Heating read the same once case, punctuation, “and” and Inc or LLC are set aside. This page never joins them on its own. If they are one company, use one spelling, and their documents are checked together.

Can I keep it in Excel or Google Sheets, or as a PDF?

Yes. Download CSV saves a file that opens in Excel or Google Sheets, with each status as a word in its own column. For a PDF, choose Print, then Save as PDF. Open the CSV here next time and every day count moves on to the new date. The blank template has the same columns and no rows, to fill in a spreadsheet and open here.

Is anything I type sent anywhere?

No. Nothing you type is stored or sent. The CSV and the printout are made in your browser, and a saved CSV is read there too. A reload clears the page, so download the CSV to keep your list.

Checking your own company’s certificates instead? Use the free M/WBE Check.

A certificate tracker built on the rules of the vendor desk in AsBuilt: the same document types, the same warning windows, and the same rule that an undated certificate does not count. It checks dates and what you type. It does not read your subs’ policies and is not insurance or legal advice: your contract says what your subs must carry, and your broker or counsel decides whether a policy meets it. ACORD 25 is a form of ACORD Corporation; this page is not affiliated with or endorsed by ACORD.

The dates check out but the certificates live in someone’s inbox? That is what the Read is for.
